Cancellation and refund policy
Consultation time and advance document review are reserved for one client. These rules explain what can be changed and what work remains chargeable.
Cancellation timeframe
You may cancel a scheduled consultation by emailing info@codepilotbase.digital. If notice arrives at least 24 hours before the appointment and document review has not begun, we provide a full refund of fees paid. You may instead reschedule once without charge, subject to availability.
For cancellation with less than 24 hours’ notice, the reserved consultation time is non-refundable. If no advance review has occurred, we may offer a partial credit at our discretion when illness, transport disruption or another documented exceptional event prevented attendance.
Work already started
Once we have begun reviewing a contract, role description or onboarding correspondence, the portion allocated to that work is non-refundable. If you cancel before the call, any remaining amount will be refunded. The booking confirmation states the advance-review portion where applicable.
Codepilotbase does not purchase physical materials or pay authority fees for standard individual consultations. If a custom employer engagement requires an approved third-party expense, the written estimate will state whether that committed cost can be recovered.
No-shows and late arrival
An appointment is treated as a no-show after 20 minutes without contact and is non-refundable. Late arrival does not extend the reserved end time. We will reschedule without charge if Codepilotbase cannot attend or a failure under our control prevents the session.
Service concerns
Tell us within 14 days after delivery if an agreed item was omitted or materially defective. We will first correct or complete the work within a reasonable period. Where correction is impossible or fails, a proportionate or full refund may apply under the contract and mandatory consumer law.
Refund process
Send the booking name, appointment date and reason for the request to info@codepilotbase.digital. Never email card or bank-login credentials. Approved refunds are issued to the original payment method within 10 working days, though the payment provider may take additional time to display the credit.
Consumer rights and exceptions
Statutory withdrawal rights may apply to distance contracts. If you expressly ask us to begin during a withdrawal period, you may owe a proportionate amount for work performed; the right may expire after full performance where legally valid consent and acknowledgement were given. Nothing in this policy removes mandatory rights under German law.
