Your information

Privacy notice

We collect only the details needed to answer an inquiry, deliver an agreed consultation and meet legal obligations.

Controller and contact

Codepilotbase, Level 8, 53 Zimmerstraße, Berlin 10117, Germany, is the controller for personal data described here. Privacy questions and rights requests can be sent to info@codepilotbase.digital or made by phone at +49 30 5550 1810.

When you use the contact form, we process your name, email, selected service, broad employment stage and message to answer your request. The legal basis is steps requested before a contract (Art. 6(1)(b) GDPR) and our legitimate interest in managing genuine correspondence (Art. 6(1)(f)).

For a confirmed engagement, we process contact details, billing information, appointment records, relevant employment documents and consultation notes to perform the contract and meet accounting obligations. Do not send passports, bank credentials, health information or unrelated identifiers through the public form.

Essential storage records your cookie choice. Optional analytics are not currently activated. If this changes, they will require the consent described in our cookie notice.

Recipients, transfers and security

Necessary data may be handled by hosting, email, video-conference and accounting providers under appropriate agreements. We select providers in the European Economic Area where practical. If a provider processes data outside the EEA, we use an applicable adequacy decision or Standard Contractual Clauses and assess supplementary protections.

We apply access controls, data minimisation and appropriate transfer methods. No internet transmission can be guaranteed completely secure.

Retention

Unsuccessful inquiries are normally deleted within six months. Consultation correspondence and working notes are normally retained for three years after completion to address contractual questions. Invoices and tax records are retained for the statutory period, commonly ten years where German law requires it. A dispute or legal hold may justify longer retention.

Your rights

Subject to legal conditions, you may request access, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You may withdraw consent at any time without affecting earlier processing. You may complain to the Berlin Commissioner for Data Protection and Freedom of Information or another competent supervisory authority.

Automated decisions and updates

We do not make decisions with legal or similarly significant effects through automated processing. This notice may be updated when providers, services or legal duties change; the current version is published here.
